Agreement to Terms

These Terms of Service ("Terms," "Agreement") constitute a legally binding contract between Dev-Haus Limited ("Dev-Haus," "we," "us," "our") and you, whether as an individual or on behalf of an entity ("you," "your," "Customer," "Subscriber"), governing your access to and use of the Dev-Haus dental practice management software platform and related services (collectively, the "Services").

By accessing, registering for, or using the Services, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you must immediately cease all use of the Services.

Definitions

"Account" means the user account you create to access the Services. "

Authorized Users" means your employees, contractors, and agents who you authorize to use the Services on your behalf.

"Content" means text, images, documents, data, information, and other materials uploaded, created, or stored using the Services.

"Customer Data" means all electronic data, information, and materials submitted or uploaded by you or on your behalf to the Services, including patient records, practice information, and business data.

"Documentation" means user guides, manuals, and help resources provided by Dev-Haus.

"Intellectual Property Rights" means copyrights, trademarks, patents, trade secrets, and all other proprietary rights.

"Services" means the Dev-Haus cloud-based software platform, including Dev-Haus Tasks, Dev-Haus Docs, Dev-Haus CRM, and Dev-Haus Diary, and all related features, updates, and support services.

"Subscription" means your purchase of access to the Services for a specified subscription period.

"Subscription Fee" means the fees payable for your Subscription as set out in your order or on our pricing page.

Eligibility & Registration

Eligibility

To use the Services, you must:

  • Be at least 18 years of age

  • Have the legal authority to bind yourself or the organization you represent

  • Operate a dental practice registered in the United Kingdom

  • Comply with all applicable laws, including GDC (General Dental Council) regulations, CQC (Care Quality Commission) standards, and UK GDPR

Account Registration

To access the Services, you must:

  • Provide accurate, current, and complete registration information

  • Maintain and promptly update your account information

  • Keep your login credentials confidential and secure

  • Notify us immediately of any unauthorized access or security breach

  • Accept full responsibility for all activities conducted through your Account

Account Restrictions

You may not:

  • Share Account credentials with unauthorized individuals

  • Create multiple Accounts to circumvent restrictions

  • Use another person's Account without permission

  • Transfer or sell your Account to a third party without our written consent

Dev-Haus provides a cloud-based Software-as-a-Service (SaaS) platform for dental practice management, comprising:

Dev-Haus Tasks

Project and task management system enabling:

  • Task creation, assignment, and tracking

  • Automated task workflows and reminders

  • Team collaboration and notifications

  • Integration with patient records and appointments

Dev-Haus Docs

Secure document management system providing:

  • GDPR-compliant encrypted document storage

  • Version control and audit trails

  • Document categorization and search functionality

  • Secure sharing and access controls

Dev-Haus CRM (Customer Relationship Management)

Lead tracking and patient relationship management featuring:

  • Multi-channel lead capture (website, social media, phone, walk-in)

  • Automated lead nurture campaigns

  • Treatment-specific sales pipelines

  • Communication history tracking

  • Source attribution and ROI reporting

Dev-Haus Diary

Patient appointment scheduling and booking system with:

  • Online patient booking portal

  • Multi-practitioner calendar management

  • Automated appointment reminders (SMS and email)

  • Patient Journey preferences capture

  • No-show tracking and recall management

Service Modifications

We reserve the right to:

  • Modify, update, or discontinue features with reasonable notice

  • Perform scheduled maintenance (notified 7 days in advance)

  • Make emergency changes for security or legal compliance

  • Introduce new features and enhancements

Subscription Plans, Pricing & Payment

Subscription Plans

  • Dev-Haus offers the following subscription options:

  • Monthly Subscription: Billed monthly in arrears

  • Annual Subscription: Billed annually in advance with discounted pricing

  • Custom Enterprise Plans: Tailored pricing for multi-site practices (contact sales)

All third-party providers are bound by Data Processing Agreements (DPAs) ensuring GDPR compliance.

Fees and Charges

  • All fees are exclusive of VAT, which will be added at the applicable UK rate (currently 20%)

  • Fees are non-refundable except as expressly stated in Section 6.7

  • We reserve the right to increase fees upon 30 days' written notice

  • Overdue payments may incur late fees of 1.5% per month or the maximum permitted by law

Payment Methods

Payments are processed securely via Stripe. Accepted payment methods include:

  • Credit/debit cards (Visa, Mastercard, American Express)

  • Direct debit (UK bank accounts via GoCardless)

  • Bank transfer (for annual subscriptions only, upon request)

Automatic Renewal

  • Subscriptions automatically renew at the end of each billing period unless cancelled at least 30 days before the renewal date

  • Renewal fees will be charged to your payment method on file

  • You will receive a renewal reminder 14 days before renewal

Price Changes

  • We may change Subscription Fees upon 30 days' written notice

  • Price changes apply to subsequent billing periods following notice

  • You may cancel your Subscription before the price change takes effect if you disagree

Free Trial

  • New customers may be eligible for a 14-day free trial

  • No credit card required to start trial

  • Full access to all features during trial period

  • Trial automatically ends unless you activate a paid

  • Subscription Only one free trial per practice

Refund Policy

60-Day Money-Back Guarantee:

  • New paid subscribers may request a full refund within 60 days of first payment

  • Refund requests must be submitted via

  • Refunds processed within 10 business days to original payment method

Annual Subscriptions:

  • Pro-rata refunds available if cancelled within first 60 days

  • No refunds for cancellations after 60 days

Acceptable Use Policy

Permitted Use

You may use the Services solely for:

  • Managing your dental practice operations

  • Storing and processing practice-related data

  • Communicating with patients, staff, and third parties in the course of business

Prohibited Activities

You must NOT:

Legal Violations:

  • Use the Services for illegal purposes or in violation of any laws

  • Violate UK GDPR, Data Protection Act 2018, or patient privacy laws

  • Infringe on intellectual property rights of Dev-Haus or third parties

Security Violations:

  • Attempt to gain unauthorized access to the Services or other users' accounts

  • Circumvent security measures or authentication mechanisms

  • Introduce viruses, malware, ransomware, or other malicious code

  • Conduct penetration testing without prior written authorization

  • Use automated bots, scrapers, or similar tools without permission

Misuse of Services:

  • Upload, transmit, or store illegal, obscene, defamatory, or harmful content Impersonate any person or entity

  • Harvest or collect information about other users

  • Use the Services to send spam, phishing emails, or unsolicited communications

  • Overload or interfere with the proper functioning of the Services

  • Resell, sublicense, or distribute the Services without authorization

  • Reverse engineer, decompile, or disassemble the software

  • Remove or modify proprietary notices, labels, or marks

Data Integrity Violations:

  • Upload false, misleading, or inaccurate data

  • Intentionally corrupt or damage databases

  • Delete or modify data belonging to other users (in multi-tenant scenarios)

Data Ownership, Privacy & Security

Customer Data Ownership

  • You retain all ownership rights to Customer Data

  • Dev-Haus claims no ownership over your data

  • You grant Dev-Haus a limited license to process your data solely to provide the Services

Data Controller and Processor Relationship

  • You are the Data Controller for all patient and practice data

  • Dev-Haus acts as a Data Processor under UK GDPR

  • We process data solely in accordance with your instructions and this Agreement

  • A separate Data Processing Agreement (DPA) is available upon request

Your Responsibilities

You are responsible for:

  • Obtaining all necessary consents from patients for data processing

  • Ensuring accuracy and legality of uploaded data

  • Compliance with UK GDPR, GDC, and CQC requirements

  • Maintaining appropriate data protection policies

Data Security

Dev-Haus implements industry-standard security measures:

  • Encryption: AES-256 for data at rest, TLS 1.3 for data in transit

  • Access Control: Multi-factor authentication (MFA), role-based access control (RBAC)

  • Infrastructure: ISO 27001 certified AWS data centers in London, UK

  • Backups: Daily automated backups with 30-day retention

  • Monitoring: 24/7 security monitoring and intrusion detection

  • Audits: Annual third-party security penetration testing

Data Location

  • All data is stored in AWS data centers located in London, UK (eu-west-2)

  • Backup data stored in Dublin, Ireland (eu-west-1) for disaster recovery

  • Data never leaves the UK/EU

Data Breach Notification

Dev-Haus implements industry-standard security measures:

  • Encryption: AES-256 for data at rest, TLS 1.3 for data in transit

  • Access Control: Multi-factor authentication (MFA), role-based access control (RBAC)

International Data Transfers

While we store data exclusively in the UK/EU, some service providers may access data from outside the EU:

  • Safeguards: Standard Contractual Clauses (SCCs), adequacy decisions, and DPAs

  • Your Control: You may object to international transfers; we will assess alternative arrangements

Children's Privacy

Dev-Haus is not intended for use by individuals under 18 without parental/guardian consent. Dental practices are responsible for obtaining appropriate consent when treating minors.

Data Breach Notification

In the event of a data breach affecting your personal information:

  • We will notify you and the ICO within 72 hours (where legally required)

  • We will provide details of the breach, potential impact, and remediation steps

Changes to This Privacy Policy

We may update this Privacy Policy periodically. Changes will be posted at dev-haus.com/privacy with an updated "Last Updated" date. Continued use of Services constitutes acceptance of changes.
